This notice explains how Grey and Associates Ltd handles personal information collected through the Manage by Text website at managebytext.com. We have kept it short and in plain English.

Grey and Associates Ltd is a company registered in England and Wales, and the operator of Manage by Text. In this notice, "we", "us" and "our" mean Grey and Associates Ltd.

We are the data controller for the personal information described in this notice. You can reach us about anything in it at support@managebytext.com.

2. What this notice covers

It covers this website and any enquiry you make to us by email. It does not cover other companies' websites, even where we link to them.

3. Information we collect

Information you give us. When you contact us, we receive your name, your email address, your company name and whatever you choose to tell us in your message.

Information we collect automatically. Like most websites, ours keeps standard server records. These include the IP address you connected from, the page you requested, the date and time, and the type of browser you used. We use these records to keep the site running, to understand how it is used in aggregate, and to investigate faults or misuse.

Cookies. This website does not use cookies, and it does not load any advertising, analytics or social media tracking. There is nothing to consent to and nothing to switch off.

We do not ask for, and do not want, any special category information — such as information about health, ethnicity or beliefs. Please do not send it to us.

4. How we use it, and why we are allowed to

  • To answer your enquiry and discuss a possible contract. We rely on our legitimate interest in responding to people who contact us, and on taking steps at your request before entering into a contract.
  • To run, secure and improve the website. We rely on our legitimate interest in operating a working, safe website.
  • To meet our legal and accounting obligations. We rely on our need to comply with the law.
  • To send you marketing. We only do this where you have asked us to, or where the law allows it for existing customers. You can opt out at any time.

Where we rely on legitimate interests, we have considered whether our interests are overridden by your rights. If you would like to know more about that assessment, ask us.

5. Who we share it with

We do not sell personal information, and we do not share it for other people's marketing.

We share it only with:

  • Suppliers who provide our website hosting, email and IT services, acting on our instructions.
  • Our professional advisers, such as accountants and lawyers, where necessary.
  • Anyone we are required to share it with by law, a court, or a regulator.
  • A buyer or successor, if the business or its assets are sold — in which case we will tell you.

Anyone who handles information on our behalf is bound to protect it and to use it only as we instruct.

6. Where your information is held

Our website and email are hosted in the United Kingdom. Where a supplier processes information outside the UK, we make sure an appropriate safeguard is in place — such as an adequacy regulation or the standard contractual clauses with a completed transfer assessment.

7. How long we keep it

  • Enquiries. For as long as we are in contact with you, and then up to 12 months, after which we delete them unless you have become a customer.
  • Server records. Up to 12 months.
  • Customer and accounting records. For as long as the law requires us to keep them.

8. Keeping it safe

We use appropriate technical and organisational measures to protect personal information, including encryption in transit, access controls and restricting access to those who need it. No method of transmission or storage is completely secure, but we take these obligations seriously and review our measures regularly.

9. Your rights

Under the UK GDPR you have the right to:

  • be told what we hold about you, and to receive a copy of it;
  • have inaccurate information corrected;
  • ask us to delete information, in some circumstances;
  • ask us to restrict what we do with it, in some circumstances;
  • object to processing based on our legitimate interests, and to direct marketing at any time;
  • receive information you gave us in a portable, machine-readable format;
  • withdraw consent at any time, where we relied on consent.

To exercise any of these, email support@managebytext.com. We will respond within one month. There is no charge unless a request is clearly unfounded or excessive.

10. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

11. Changes to this notice

We may update this notice from time to time. When we do, we will change the date at the top of this page. Please check back if you want to see the current version.
